Record Description :  This record series is the official record collected and retained pursuant to employment and for individuals who have logical or physical access to Department of Public Safety (DPS) systems / areas containing Criminal Justice Information (CJI). Records may include, but are not limited to the following: the request for background; applicant consent / release forms; criminal records checks; Criminal History Record check response letters; National WebCheck waiver forms; driving records; applicant fingerprints; credit histories; supporting documentation presented at application; data and documents collected during field interviews; the background and polygraph results summaries; medical / psychological screening results; and the form / memo of approval or denial. Upon the decision to hire, or if applicable, upon academy class graduation, Ohio State Highway Patrol (OSHP) / Ohio Investigative Unit employee backgrounds are forwarded to OSHP Central Records and all remaining DPS employee backgrounds are forwarded to, and retained in DPS Human Resource Management in accordance with this schedule. Records may be transferred to the DPS Record Center. NOTES: 1) Backgrounds and background checks for all rejected applicants are retained in accordance with Series Authorization Number (SAN) 760-1492, “Application for Employment Bid Folders”; 2) Polygraphs for employment are retained in accordance with SAN 760-0773; 3) This record retention schedule also applies to OSHP auxiliary member applicant background records.

Records may be imaged, with exception of Criminal History Check response letters unless they meet the standards set forth in Section 5.10.1.2.2 “Encryption for CJI at Rest” in the Law Enforcement Automated Data Systems (LEADS) Security Policy.
