Record Description :  The ODNR Office of Coastal Management maintains files related to applications for grants that were selected for funding. These files include general grant award information and may include grant applications and guidance documents; grant selection summaries; interim and final reimbursement requests, federal financial reports; semi- annual performance reports; correspondence; project administration paperwork; deliverables and interim reporting; and bid documents, requests for proposals, requests for qualifications or similar documents related to purchasing, and personnel services.

Six (6) years after start of grant cycle or three (3) years after start of grant cycle if an electronic copy is available. If litigation, claim, or audit, is initiated, then upon final resolution. Federal pass-through grants can have a term of up to three years. FEDERAL POLICY1. Grant records are required to be retained for three years from receipt of approval of final documents from the award agency. In cases where litigation, claim, or audit is initiated prior to expiration of the three-year period, records must be retained until completion of the action and resolution of any issues associated with it or the end of the three-year retention period, whichever is later.
