Record Description :  The ODNR Office of Coastal Management maintains long-term files related to grant awards. These files may include semi-annual and final programmatic and financial reports, final OCM applications to the National Oceanic and Atmospheric Administration (NOAA) for annual cooperative agreement awards, pass-through grant recipient final reports, performance reports, final project summaries, project photos, post-project documentation, acquisition/construction site reviews, surveys; grantee applications, agreements/contracts, amendments, final plans and specifications, site location map including sign location.

For construction projects: Twenty (20) years after start of grant cycle or three (3) years after start of grant cycle if an electronic copy is available. For acquisition projects: Permanent or three (3) years after start of grant cycle if an electronic copy is available. The federal requirement for retention of grant documents related to procuring goods and services is to destroy when business use ceases. For construction projects, the federal requirement for retention is 20 years. For acquisition projects, the federal requirement is in perpetuity. Additionally, retention of these grant documents has statistical and informational value to the Office of Coastal Management. Paper Recycle
