Record Description :  This retention schedule pertains to records received by the Division regarding a complaint against a real estate licensee or a person alleged to be engaged in unlicensed activity (ORC 4735.052) in which the Division closes the case with an advisory letter. This schedule consists of, but is not limited to, the complaint, letters notifying the Respondent and the Complainant an advisory letter is being issued, any proof of service, any items received during the course of the Division''s investigation and/or any investigative reports or attorney-client memorandums. Records maintained in paper form may maintained on-site or in an off-site warehouse facility and shall be maintained for a total of five years from the date the advisory letter was issued by the Division. Then the paper records shall be destroyed. Paper Shred
For any records maintained in machine readable format, the records shall be maintained five years from the date the advisory letter was issued by the Division. Then the machine readable record shall be destroyed. Electronic Erase
For any records maintained in microfiche, the records shall be maintained five years from the date the advisory letter was issued by the Division. Then the microfiche shall be destroyed. Microform Shred
